Personal information we collect and process

For the purposes of this privacy statement, personal information means any data which relates to an individual who may be identified from that data, or from a combination of data and other information in SMART5's possession.

We may collect the following categories of personal information:

• Information provided through the website, including name, email address, designation, company, country, enquiry details and telephone number.
• Information about your computer and website use, such as IP address, demographics, operating system, browser type and cookie information.
• Information provided when you register for website services, contact us, respond to campaigns, submit job applications or participate in events.

How we use personal information

• To provide usability, troubleshooting, site maintenance and service delivery.
• To understand website usage and improve content, navigation and performance.
• To create and manage user IDs or registrations where applicable.
• To contact you and respond to your questions, requests or service enquiries.
• To provide access to desirable content based on preferences.
• To process job applications, alumni-related requests, competitions or event participation where relevant.

Legal basis of processing

We process personal information where necessary for the performance of a contract, for legitimate interests pursued by SMART5 or a third party, or where consent has been provided. Where processing is based on consent, consent may be withdrawn at any time.

Phone calls answered by our AI assistant

Calls to our office number (+44 20 4602 9982) are answered by Ava, an AI assistant, who tells you this at the start of the call. Ava asks about your enquiry so that we can follow up with the right information.

• Your phone number, what you say during the call and Ava's notes are processed using Amazon Web Services (Amazon Connect, Amazon Lex and Amazon Bedrock).
• A written summary and transcript of genuine enquiries is emailed to SMART5 so that we can respond. We do not keep an audio recording of the call.
• The working copy of the call held by the assistant is deleted automatically after 7 days. The emailed summary is kept as part of our normal enquiry records.
• If you would rather not speak to an AI assistant, please email info@smart5.co.uk or use the contact form.

Consequences of not providing personal information

If you choose not to provide personal information that is mandatory to process your request, we may not be able to provide the corresponding service.

Data recipients, transfer and disclosure

SMART5 does not share personal information with third parties for their direct marketing purposes and does not sell personal information to third parties.

We may share personal information with SMART5 entities, business partners, service vendors, authorised third-party agents or contractors where required to provide services or operate the website.

In general, Smart 5 Consulting Limited, domiciled in the United Kingdom, is the data controller for personal information. Where data is transferred outside the EEA or UK, we rely on appropriate safeguards, adequacy decisions or service provider commitments designed to protect personal information.

Use of cookies and Do Not Track

Please refer to the Cookie Policy for more information about cookies.

Do Not Track is a privacy preference available in some browsers. At present, there is no universal standard for recognisable DNT signals and the site does not recognise DNT.

Your rights and regional privacy rights

Subject to applicable laws, you may have the right to access, correct, delete or transfer personal information that we hold. You may also have the right to object to certain processing, request restriction of processing, withdraw consent or opt out of certain uses.

Residents of specific regions may have additional rights to request information about categories of customer information shared with third parties for direct marketing purposes. SMART5 does not currently share the personal information of certain residents with third parties for their own direct marketing purposes.

Data security, retention, linked websites and children's privacy

SMART5 adopts reasonable and appropriate administrative, physical and technical controls to safeguard personal information.

Personal information will not be retained for longer than necessary to fulfil the purposes outlined in this privacy statement unless a longer retention period is required by law or for directly related legitimate business purposes.

SMART5 may provide links to third-party websites and services. SMART5 is not responsible for the privacy statements, practices or content of such third-party websites.

The site does not knowingly solicit or collect personally identifiable information online from children under the age of 13 without prior verifiable parental consent.
